Leave Use during Emergency Closings/Inclement Weather

Covers partial or full closings. Provisions for managing leave relating to emergency closings or inclement weather are based on various factors specific to each closing.

When the University is closed due to emergencies or inclement weather, the following leave policies are in effect:

  1. An employee who had previously requested to be on leave on the day that the University ended up closing, will not have his/her personal leave charged for that day. (example: employee had received approval for annual leave on February 15. The University closed due to snow. The employee would not be charged the 8 hours for annual leave. Rather, the 8 hours would be inclement weather (other) leave. If the University was closed for only part of the day, the same applies.
  2. An employee who called in and did not report to work at all on a day that the University was closed for part of the day, will only have to take personal leave for the hours not affected by the closing. (example: employee did not report to work at all - University closed at 10:00 a.m. - employee is only charged two hours (8:00 a.m. to 10:00 a.m.) of personal leave.
  3. Designated employees who work during a closing will receive compensatory leave for the hours worked during their normal shift. If they work beyond their normal shift, they will be compensated appropriately under the FLSA depending upon whether they are exempt (compensatory leave) or non-exempt (overtime leave).
  4. Non-designated employees who work during a closing will NOT receive compensatory leave except in extenuating circumstances approved by the President.
  5. Employees who are allowed to leave work prior to the University officially closing will be charged personal leave for the hours between the time they left and the University officially closed.
  6. Employees who arrive late to work due to transportation difficulties will not have their personal leave charged when the supervisor determines the late arrival to be justifiable in view of the conditions.
